Privacy policy
How we handle your photos, job records, and personal information.
1Who this policy covers
This policy covers the FolioCam website, mobile app, and related services. It explains how we handle information about account holders, website visitors, support contacts, and people included in a contractor’s job records.
A contracting company decides what customer and job information to add and who can access it. We process that information to provide the service on the company’s behalf. For requests about a contractor’s records, contact that contractor first; we can help route your request.
2Who we are
FolioCam is provided by FolioCam LLC. For privacy questions or requests, contact info@foliocam.com.
3Information we collect
- Account and company details: your name, email, optional profile photo, company name, trade, memberships, and roles.
- Job and customer details: job names and addresses, work descriptions, services, contacts, and any insurance company, adjuster, or claim number entered by your company.
- Photos, video, and documents: uploaded media, including sound in videos recorded with microphone permission; captions, annotations, tags, checklists, reports, estimates, invoices, and recorded payments.
- Capture information: available capture time, coordinates and location accuracy, camera direction, photographer, image dimensions, and job or folder assignment. We separately record when the server receives the record.
- Photo labels: short lists of general words, with scores, that the app’s on-device image labeling produces for each photo’s preview, as section 7 describes.
- Service information: subscription and seat status, support correspondence, sign-in activity, request logs including internet addresses, crash diagnostics, and a push token if notifications are enabled.
Crash reporting is configured to strip request bodies, query strings, and sensitive account or job details. We do not run advertising pixels, session replay, or product analytics. We do not access your address book, calendar, calls, or messages. Payment-card details are handled by Stripe.
4Location and device permissions
With your permission, FolioCam uses location while you are using the app to match photos to jobs and record capture coordinates. It does not request background location. If location is unavailable, you can select a job manually.
When someone adds a location to a photo that has no coordinates, the record distinguishes that entry from a device-recorded location. Device-recorded coordinates are not overwritten by manual placement.
You can change camera, location, photo-library, microphone, and notification permissions in device settings. Turning off a permission limits the feature that needs it. For example, videos can be recorded without sound when microphone access is denied.
5Photos you import
When you import photos, FolioCam processes the files you select and available metadata, such as capture date and coordinates. It does not upload your entire photo library. Missing or unreadable metadata is not treated as a verified capture time or location.
6How we use information
- Provide sign-in, team access, job organization, uploads, search, sharing, reports, estimates, and invoices.
- Manage subscriptions and send sign-in codes, invitations, service notices, and notifications you enable.
- Answer support requests, troubleshoot failures, protect accounts, and prevent abuse.
- Comply with legal obligations and establish or defend legal claims.
We do not sell personal information, share it for cross-context behavioral advertising, or use customer content to train AI models.
7Processing on your phone
The app keeps local data needed for offline work, including pending uploads and cached job information. Photos wait locally before upload; removing the app or clearing device storage can remove files that have not reached the service.
Image preparation, local job matching, supported folder and outline suggestions, and same-angle guidance run on the device. Dictation uses on-device speech recognition; we do not receive the dictation recording. The resulting text is saved if you add it to a record. This is separate from audio included in uploaded videos.
After a photo is taken or imported, the app runs Google ML Kit’s image labeling on the phone over the photo’s small preview. It produces a few general words with scores, such as “Roof” or “Building”. These labels are stored with your company’s photos and are used only to suggest which of your company’s own folders a photo looks like it belongs in, by comparing it with photos your company has already filed. The preview is not sent anywhere for this. Labels are not shared with other companies, not used to train models, and do not appear on share links, reports, or portfolios. A suggestion never files a photo; a person chooses.
8Optional AI suggestions
FolioCam uses Anthropic for two optional suggestion features:
- Description cleanup: the description text is sent to suggest clearer punctuation and wording. Names or other personal details you include in that text are part of what is sent.
- Tag suggestions: a crop around the point you selected on an uploaded photo and your company’s available vocabulary are sent to suggest a label. Anything visible in that crop is included.
These requests happen after a user action, separately from taking a photo. Review suggestions before accepting them. Our application does not log the prompt or reply as part of these requests. Provider processing is subject to the applicable commercial terms; we do not authorize training on customer content.
9Service providers
We use the following providers to deliver FolioCam. Information shared depends on the feature you use and the provider’s role. Their handling of information is governed by applicable service agreements and privacy policies.
- Google Cloud and FirebaseHosting, the database, photo and video storage, and sign-in. This is where your account and your photographs live.
- StripeSubscription payments. Card details go to Stripe and never through us, and we store none of them.
- MailgunSending email: sign-in codes, invitations, welcomes and receipts.
- ExpoDelivering push notifications. The payload carries a heading and where to go, never a job name, address or customer detail.
- AnthropicOptional description and tag suggestions, as described above.
- SentryCrash and error reports from the app, scoped as section 3 describes. Diagnostic filtering is designed to exclude photos, job details, and screen contents.
- Google PlacesLooking up a street address as somebody types one. The lookup goes through our server, not from your phone, and carries nothing that says who is typing.
- Apple and Google sign-inIf you choose to sign in with either, they confirm your identity and tell us the email address they hold for you.
We may also disclose information when legally required, to protect rights or safety, or as part of a business sale or merger subject to appropriate protections. We will provide any notice required by law.
10Sharing and private job details
Photo and gallery links let a recipient view shared work without signing in. Anyone who receives or is forwarded the link may be able to open it. Review a link’s contents before sending it, and use expiry or revocation when access should end.
Revocation cannot remove a recipient’s downloaded copy. Shared galleries are read-only, request that search engines avoid indexing them, and use no-cache responses.
Insurance company, adjuster, and claim details are excluded from general photo sharing. Reports include private job details only when explicitly selected for that document. Issued documents and downloaded copies retain the information included when created.
11Notifications and website storage
If you enable notifications, we store a device token to deliver them. Push payloads contain navigation information and a general heading, not job names, addresses, or claim details. You can disable notifications in device settings.
The public marketing pages do not use advertising trackers. Sign-in and billing surfaces use storage or session information needed to work, and third-party services such as Stripe and your sign-in provider may use their own cookies or similar technologies. We do not use cross-site advertising tracking, regardless of a browser’s Do Not Track setting.
12Retention and deletion
We retain account and job information as needed to provide the service, maintain business records, resolve disputes, and meet legal obligations. Retention depends on the type of information and the purpose for keeping it; subscription cancellation does not immediately delete company records.
- Hidden photos remain stored. Hiding is reversible and does not remove an issued report or downloaded copy.
- Leaving a company does not erase its work. Photos and documents you contributed remain company records. You can delete your own account in the app once you no longer hold a company seat.
- Deletion requests need context. Contact us to request deletion or an export. We may verify your identity, coordinate with the company owner, and retain information required by law.
- Backups and logs follow separate retention cycles. Deleted information may remain in backups until they expire; it is not immediately removed from every backup.
We will explain applicable timing and any retention requirements when handling an account closure or deletion request.
13Where information is processed
Our primary application hosting and storage are in the United States. Our service providers may process information in other locations according to their service arrangements. If you use FolioCam from another country, your information may be transferred to a country with different privacy laws.
14Protecting information
We use encrypted connections, cloud storage encryption, company-scoped access controls, role permissions, and short-lived access links for stored media. These measures help protect information but cannot guarantee that every risk is eliminated.
Protect your device and sign-in methods, review team access, and share customer records carefully. If we identify a breach requiring notice, we will notify affected parties as required by applicable law.
15Support access
Authorized FolioCam staff may open an audited, read-only view of a company account to investigate a support issue. The support view cannot add, change, or delete company records.
Sessions expire and record who accessed which account and when. This audit identifies account access, not every individual photo viewed. Customer data from this support view is excluded from the staff device’s normal offline caches.
16Your choices and requests
You can edit your profile, manage device permissions, and ask your company owner about team access and job records. To request access, correction, a copy, or deletion of personal information, email info@foliocam.com.
Depending on where you live and which laws apply, you may have additional rights to object to or restrict processing, appeal a decision on a request, or complain to a privacy regulator. We may need to verify your identity and authority before responding. We will not discriminate against you for exercising applicable privacy rights.
17California privacy rights
Where the California Consumer Privacy Act applies, eligible residents may request access to, correction of, or deletion of personal information, subject to legal exceptions, and may use an authorized agent. Send requests to info@foliocam.com. We may verify your identity and the agent’s authority.
The categories described in this policy include identifiers, commercial and professional information, internet activity, precise geolocation, and visual or audio content. We collect them from you, your device, your company, and sign-in providers for the purposes described above, and disclose them to providers as needed to deliver the service.
We do not sell personal information or share it for cross-context behavioral advertising. We use precise location to support requested job documentation features, not to infer personal characteristics.
18Children
FolioCam is intended for business users aged 18 or older. It is not directed to children, and we do not knowingly collect personal information directly from children under 13. Contact us if you believe a child has provided information so we can investigate and take appropriate action.
19Policy changes
We update the date on this page when this policy changes. If a change materially affects how we use personal information, we will give notice in the app or by email before it takes effect where required.
20Contact us
